Below are some common questions that we receive on how to use the Transaction Pro Importer for QuickBooks Online:
Can I import multi-lined transactions?
Yes you can. Just make sure that each line of the same transaction has the same value on each line and map that column to the QuickBooks field, RefNumber, on the Transaction Pro Importer mapping screen.
Can I use account numbers?
Yes just be sure to include the lowest sub-account number only and map that column in your import file to the account field on the Transaction Pro Importer mapping screen. If using account names include the account and the sub account in the same column separated by a colon.
What if the names in my import file do not exist in QuickBooks Online?
By default when importing transactions is the customer, vendor or employee name does not exist Transaction Pro Importer will create the names for you. If you do not want the names to be automatically created you can consider either of the two options below:
What is not all the data exists in my import file?
Transaction Pro Importer gives a user the ability to either match a QuickBooks field to a column in the import file or if the same value is to be used on all lines in the import file you can specify a default value in the mapping. Some examples where this might be helpful are below:
- If all transactions are to be emailed you could provide a value such as the letter Y in your import file next to the QB field, ToBeEmailed.
- To provide a default Message to be displayed on all transactions
- To set a Tax Item to be used on all transactions.
Do I need to use a specified template for my import file?
You import file just needs to have a header row. Then you can choose to map each of these columns to a specified QuickBooks field on the Transaction Pro Importer mapping screen. You can use your own headings and the columns can be in any order.
